How Ordlie Automates Customer Order Entry and Invoicing
From customer order to invoice, without manual entry.
Ordlie automates order entry for growing B2B distributors. It reads customer orders from email, PDFs, WhatsApp and other channels, matches products to your catalog and customer history, and creates a draft order for your team to review. Once approved, Ordlie sends the order to your accounting system and creates the invoice. Below is the detailed step by step process.
In short An order arrives. Ordlie reads it, applies customer knowledge, and shows your team a draft. You approve, edit, or reject. Once approved, the order goes where it belongs — today, QuickBooks.
1. We read it.
Ordlie captures customer orders from email, PDFs, WhatsApp and other channels. Your customers keep ordering the way they already do.
It identifies the products, quantities, customer details and other information needed to create an order — even when the request isn't formatted like a traditional purchase order. A short WhatsApp restock note, a PDF purchase order, a photo of a list, or an email with mixed attachments all feed the same pipeline.
2. We apply what we know.
Ordlie uses your existing product and customer information to interpret each order. It can recognize how a customer refers to a product, apply their usual pricing or ordering patterns, and use previous orders to help resolve ambiguous requests.
When a buyer writes "the usual house white" or "same as last week, no rosé," that shorthand only works if the system remembers how this account orders. Corrections your team makes in review become rules for the next order from that customer: terminology, preferred packs, substitutions when something is out of stock, where to deliver, who to invoice.
The result is a structured order your team can review.
3. You decide.
Ordlie creates a draft, review-ready order. Your team reviews the draft, edits it as needed, ensuring everything is correct before approving it.
You stay in control of the order; Ordlie handles the entry work.
4. We send it where it belongs.
Once you approve the order, Ordlie sends it to QuickBooks and creates the invoice automatically. Your team doesn't have to re-enter the order or copy the information from one system to another.
QuickBooks is supported today, with Xero and Sage coming next.
